Planning a Campus Event
- Reserve a room and select the option for the event to be added to the College’s calendar
- Contact Rachel Balsley regarding event planning and publicity
- Submit work orders for event set up and AV/technology, if needed
- If you’re unsure of the size of your event, consider creating a form to track RSVPs
- Submit catering requests, if needed
- Request event photography, if needed

For public events during which we won’t be collecting media releases, please consider posting this sign in collaboration with Communications
- If lodging is needed, confirm availability at the Florence Elston Inn by calling 434.381.6207. Be sure to request the internal rate, if applicable.
- For any speakers, performers, or other entities that are brought to campus, please coordinate payment for them through the Business Office. Be aware that the Business Office needs two weeks to process payments.
Suggested Timing
We recommend completing all related tasks as soon as possible. Event promotion should start at least three weeks ahead of the event.
Things to Consider
- How might your event relate to areas of the Sweet Briar Strategic Plan or its mission?
- What is the subject matter and how is it relevant to the Sweet Briar community?
- What do you hope the audience will take away from participating?
- How will people find out about your event?
- Do you need to collect RSVPs?
- Will there be a Q&A or other engagement opportunities during your event?
- Who needs to approve or contribute to your event?
- Who can partner with you on your event?
